Property matching

If you choose to register for details of properties that are of interest to you to buy or rent, we will need to obtain and retain certain personal information such as your property preferences, price banding, desired locations, name and contact details.

When you register with us and/or Landlord/Tenant Tracker, you agree to provide accurate, current and complete information about yourself when completing your registration. We will use this information for the purpose of processing and managing your registration and in order to provide the relevant services to you.

Any user name and/or password we issue to you are personal to you and you may not share these with and/or transfer these to any third party. You are solely responsible for any user name and/or password and you shall immediately notify us if you are aware of any breach of security.

Any user name and/or password must not be offensive and/or vulgar and we reserve the right to block your use of the website if we reasonably believe the user name and/or password to be inappropriate for any reason.

We may at our sole discretion and for any reason, suspend and/or cancel your registration to any of our services.

We may disclose your personal information to the police or other public sector bodies with authority to request such information and/or fraud prevention agencies for the purpose of preventing fraud/loss, to prevent, detect or discourage crime and/or for the apprehension or prosecution of offenders.


Website Usage tracking

Prospect Holdings (Reading) Ltd sometimes tracks and catalogues the search terms entered in our ‘Search’ function, but this tracking is not associated with any individuals. We only use tracking information to determine which areas of our sites that users like and which they don't like based on traffic to those pages. We do not track what individual users read, but rather how well each page performs overall. This helps us continually to build a more informative and useful website for our users.

Right to erasure (Right to be forgotten)

When we receive a request for erasure we will respond to the request without undue delay and within 30 days of receipt.

If we have shared your data with a third party, we will inform them of your request for erasure.


Copies of personal information

If you request a copy of your personal data that we retain, we will provide it to you free of charge. However, we may charge a ‘reasonable fee’ when a request is manifestly unfounded or excessive, particularly if it is repetitive. We may also charge a reasonable fee to comply with requests for further copies of the same information.

The fee will be based on the administrative cost of providing the information.

Information will be provided without delay and at the latest within one month of receipt of the request.


Our employees

If we employ you, we collect information about you and your work from time to time throughout the period of your employment. This information will be used only for purposes directly relevant to your employment. After your employment has ended, we will keep your file for seven years before destroying or deleting it.


Personal data breach

In the unlikely event of a data breach, we will inform affected individuals when it is likely to result in a high risk to their rights and freedoms without undue delay. We will provide relevant information and advice to help them protect themselves from its effects.

We will inform the ICO of this breach within 72 hours.
